Your confidence in the way I look after your data is really important to me. I have prepared this Privacy Policy to explain the types of personal data I may collect about you and your child and how I store, handle and keep that data safe. It also sets out your rights, how to contact me and (if you need to) how to complain in the event you have a problem or complaint.

 

About Me

Shining Stars Dyslexia Services is the company name of the sole trader business of Katie Partridge.  I am an independent Specialist Assessor and Teacher who is qualified to assess and diagnose dyslexia and plan and deliver specialist programmes for those with dyslexia or other specific learning difficulties.

Overview

I protect the privacy of all who share personal data with me via email, post, text, phone or my website: shiningstarsdyslexiaservices.co.uk. I will only collect and use personal data in ways that are described in this policy. I have strict policies and procedures in place to protect your data, and when I process it to provide you with the services you have requested. The data you provide me will be used only for the efficient provision of agreed services and it will not be shared with anyone else unless explicitly stated in this document. 

When I collect or process your personal data I am regulated by the UK General Data Protection Regulations (GDPR).  I am responsible as ‘controller’ or ‘processor’ of that personal information for the purposes of those laws.  I am registered with The Information Commissioner’s Office and my ICO number is:  ZB166950.

 

The personal information I collect and use

The information I collect about you is needed to deliver the services you have asked for: assessment, specialist tuition, or to keep you informed about things you might reasonably expect, given our relationship. That tends to include things like:

  • Who you are – so I know what to call you.
  • Where you live – so I can attend the address as required or record it on the invoices.
  • Telephone number and email – so I can send you your report and request any information needed.
  • Background – to inform your report including medical/disability information.
  • If you contact me as a parent or carer, information about your children including date of birth and gender.

As you would expect, I must keep records to comply with the law regarding (for example) criminal activity or fraud.

How I use your personal information?

Normally, I use your personal information to:

  • Deliver the service I have agreed to provide you with.
  • Provide you with support, assistance and services in relation to dyslexia and related neurodiverse conditions as appropriate.
  • To better understand the needs of dyslexic and non-dyslexic people in order to diagnose individuals with dyslexia.
  • To comply with statutory requirements for bookkeeping, auditing and accounting.
  • To make appointments, provide invoices or provide you with agreed information relating to the service you have engaged me for.

How do I collect your data?

When you conduct a transaction on our website, by email, phone, text, or online booking service such as Calendly we collect only the personal information you give us, (such as your name, phone number, email address), which is necessary to provide our services.

When you engage our services as a training provider, tutor, assessor or consultant we collect information through email, application forms, (and associated documentation), and questionnaires. We communicate via email and text and will keep your details in our email system in order to reply to you and to keep you informed about the services you are interested in. The website, shiningstarsdyslexiaservices.co.uk, is hosted by One.com whose privacy policy is available on their website www.one.com. A separate privacy statement is available on my website.

How do I store your data and how long for?

When you engage my services, I store the information we collect about you electronically and/or on paper.  Electronic data is kept secure in a Google Drive or One Drive account.  In addition, files containing sensitive information, such as diagnostic assessment reports are password protected.  Backup of documents are kept on a separate hard drive stored in a locked filing cabinet at a different address to the business premises.  We use email to transfer data, using password protection if it contains sensitive or highly confidential information.  Any paper documents are stored in a locked filing cabinet.

I will hold your personal data for as long as it is needed to allow me to provide you with the service or for the period I am required to retain this information by applicable UK law (currently 6 years after an individual’s 18th birthday or 6 years for an adult).  Following the assessment and the compilation of the final assessment report all client questionnaires, all raw data test sheets and all other personal data will be permanently deleted/destroyed after 6 months.

We will keep a list of people interested in our courses or requiring tuition for a period of two years.

We keep the records of those who have received tuition, lesson notes and copies of work completed in tuition sessions for 6 months after tuition has ceased.

A child’s name may be stored on websites used for tutoring such as Spelling Frame in order for an account to be created for their use.  No other identifying or personal information is used to set up these accounts.  Calendly is GDPR compliant and does not have access to any of your data.  Please see their privacy policy for further details.

Who I share your personal information with?

I do not routinely share your personal data with anyone unless there is a good reason to do so. This might include:

  • Your child’s school – I will share your information with your child’s school if you have given me permission to do so.
  • Other Third Parties (‘third parties’) – I will share your information with 3rd Parties, such as other professionals, if you have given me permission to do so.

As you would expect, I will share personal information with law enforcement or other authorities, if required by applicable law. I will not share your personal information with any other third party.

 

Your rights

You have several important rights including:

  • The fair processing of information and transparency over how I use your personal information.
  • Access to your personal information that this Privacy Policy is already designed to address.
  • Requiring me to correct any mistakes in your information which I hold.
  • Requiring the erasure of personal information concerning you in certain situations.
  • Receiving the personal information concerning you which you have provided to me, in a structured, commonly used and machine-readable format and have the right to transmit that data to a third party in certain situations.
  • Objecting at any time to processing or storage of personal information concerning you.
  • Objecting to decisions being taken by automated means which produce legal effects concerning you or significantly affect you.
  • Objecting in certain other situations to my continued storage of your personal information.
  • Restricting my processing or storage of your personal information in certain circumstances.
  • Claiming compensation for damages caused by our breach of any data protection laws.
  • Exercising these rights free of charge.
